There is one metric almost no agent measures that explains more results than all the others combined: the time between a lead arriving and a real person speaking to them. Not the time to the first automated email. The time to an actual conversation.

Someone enquiring about a flat at 9:30pm rarely enquires about one listing. They enquire about three, four, five. And in the overwhelming majority of cases they go with whoever answers first — not because that agent had better arguments, but because by the time the second one calls, the conversation is already happening with somebody else.

What is going on in the enquirer's head

The enquiry happens in a short window of high intent. The person is on the portal, they saw a photo, they pictured themselves there and they hit the button. For the next few minutes the subject is still front of mind, the phone is still in their hand and they are mentally available to talk.

Thirty minutes later they are having dinner. The next day they have seen ten more properties and cannot remember which one they enquired about. On day three, when you finally call, you get the line every agent knows: "I don't remember which one that was, can you send it in writing?"

The lead did not die from lack of interest. It died because the window closed.

Responding is not sending an auto-reply

Many professionals think they have solved this because the portal sends an automatic confirmation. They have not. An auto-confirmation qualifies nobody, books nothing and builds no relationship — it merely acknowledges receipt.

Two time options convert far better than "whenever suits you". The person picks instead of deciding whether they want to engage at all.

Layer 2 — the call (under 15 minutes in working hours)

If the lead arrives during business hours, the call is not optional. Do not let messaging replace voice. The call is not there to sell: it is there to find out timeline, financing and motivation, and to book the viewing.

Layer 3 — the safety net

Not everyone answers. Set a defined sequence: retry after three hours, again the next morning, on day three with something genuinely useful, and on day seven with a final message. Six touches spread over a week recover a meaningful share of contacts that looked lost.

How to do this without being chained to your phone

  1. Centralise your channels. Portals, website form, Instagram and WhatsApp should all land in the same place. Leads scattered across five inboxes are lost leads.
